The guest journey: QR codes from check-in to check-out

A single stay touches a QR code a dozen times. Here is where each one earns its place — and why running them all as dynamic QR codes means the front desk updates menus, prices, and guides centrally, without ever reprinting a room folder or peeling a sticker off a wall.

    🛎️

    Arrival · lobby

The first scan happens before the room key

    • Lobby Wi-Fi QRguests are online before they reach the lift — no front-desk queue spelling out a 16-character password, and no laminated card that walks off by the weekend.

    • Digital welcome guide QRcheck-in / check-out times, breakfast hours, pool and gym timings, and house rules in one tidy page instead of a four-page printed binder nobody reads.

    🛏️

    In the room

The room does the work the phone used to ring for

    • In-room dining menu QRthe full room-service and breakfast menu with current prices and a "currently unavailable" flag the kitchen toggles live during a 86'd item.

    • Housekeeping & service-request QRextra towels, a late checkout, a maintenance issue, or "do not disturb" — routed to the right team without a guest hunting for the front-desk extension.

    🗺️

    During the stay

Become the concierge they keep in their pocket

    • Local area guide QRhand-picked restaurants, the nearest metro and auto stands, and the attractions worth the trip — edited the moment a new spot is worth recommending.

    • WhatsApp concierge QRone scan opens a chat with the front desk for cab bookings, dinner reservations, or a question at 11pm — no app to install, no number to copy.

    🧾

    Check-out

Settle the bill and earn the review in one flow

    • UPI payment QRthe final folio paid via GPay or PhonePe at zero MDR — no card-machine fees nibbling the margin on every mini-bar and late-checkout charge.

    • Guest feedback / Google review QRa happy guest taps straight through to your Google listing; an unhappy one reaches a private feedback form first, so you fix it before it becomes a public one-star.

Every code above is dynamic, so the printed sticker in the room never has to change. When the kitchen swaps the breakfast buffet for a winter menu, when the Wi-Fi password rotates after a security review, or when a new café opens down the road and belongs in the area guide, your team edits it once in the dashboard and the live content updates across every room within seconds. No reprinting 120 room folders, no replacing acrylic stand inserts floor by floor, and no guest ever scanning a code that leads to last season's prices. The same printed QR that welcomed a guest at check-in is still accurate by the time they settle the bill at check-out.

Hotel QR codes — FAQs

How do I add a QR code to a hotel room?

Create your QR codes in the Photon QR dashboard (room service menu, Wi-Fi, etc.), download as PNG, and print. Place them in table-top acrylic holders, on bedside tables, behind doors, or as stickers on room folders. A standard setup takes about 30 minutes per room type.

What if I need to update the Wi-Fi password?

Just update the Wi-Fi password in your Photon QR dashboard. The printed QR code in all rooms doesn't change — it redirects through Photon QR, so the new password is live within seconds. No reprinting, no replacing QR stickers.

Can I use one QR for all room service items?

Yes — create one Menu QR with all your room service categories and items. All rooms can use the same QR code (or you can create separate ones for suites, standard rooms, etc.). Any update to the menu reflects instantly across all rooms.

How many QR codes does a typical hotel need?

Most hotels need 5–8 QR types: room service menu, Wi-Fi, local guide, feedback, UPI payment, social/booking page, restaurant menu, and maybe a spa menu. The Basic plan (₹79/month) with 5 QR codes covers most small properties.

Is there a QR code for collecting TripAdvisor reviews?

Yes — create a Link-in-Bio QR that includes your TripAdvisor, Google Maps, and Booking.com review links alongside your WhatsApp and booking page. Guests see all options and can choose where to review.
